Association Management
Our community association management program provides a high level of homeowner satisfaction, minimized operating expenses resulting in lower monthly homeowner assessments, and ultimately increased property values for our clients. It is designed both to make the job of Board members as easy as possible, and to provide homeowners with the quality, maintenance free living that they were looking for when they purchased their home. We believe that Board members should only need to perform oversight responsibilities for their association. If Board members are doing more than that, we feel that the management company is not doing their job!
Our standard community association property management services include:
- State-of-the-art computerized bookkeeping system designed specifically for property management.
- Separate interest bearing bank account for association funds (no commingling of funds).
- Collect, record, and deposit all assessments and other charges.
- Weekly payment of approved invoices, taking advantage of all available discounts.
- Easy to read financial statement, distributed to all Board members by the 1st or 2nd business day of each month.
- Preparation of year-end reports for the association accountant to prepare the audited financial statement and tax returns.
- Aggressive collection procedures that minimize delinquencies.
- Annual budget preparation.
- Annual review of insurance policies and obtain quotes from competing insurance companies.
- Insurance claim administration.
- Detailed long range replacement reserve studies to assure that reserve allocations are sufficient to cover future capital expenditures without the need for special assessments.
- Maintain and monitor the association's reserve fund investment program.
- Provide 24-hour emergency answering service for all homeowners.
- Assist in the enforcement of association By-Laws, rules and regulations. Prepare necessary closing documentation for unit transfers. Oversight of the on-going maintenance of the property and development of preventive maintenance programs.
- Prepare detailed specifications, secure competitive bids, make recommendations to the Board, obtain Board approval, let contracts, and supervise work for the maintenance needs at the property.
- Periodic property inspections, at least weekly, to check for rule violations, the condition of the common areas, and the performance of any on-site personnel and service contractors.
- Attend all Board meetings (in-office conference room available for meetings); coordinate the annual meeting, distribute meeting notices and ballots/proxies.
- Educational package distributed to newly elected Board members.
